Inbound Academic Exchange Programme


1. How do I apply for the student exchange programme in UTAR? 

You may visit the Inbound Academic Exchange Programme website at https://cee.utar.edu.my/StudentExchange/InboundAcademicEP.php to find out more about the requirements and application procedures to join the programme. Please ensure that you meet the requirements before completing the ‘Inbound Application Form’. Alternatively you may contact Student Exchange Programme coordinators in your university prior to making any decision.

2. When does the programme open for registration? 

Below are the starting dates to apply for the programme according to the trimester: 
• Admission for January Trimester – 1st August of the previous trimester year 
• Admission for May Trimester – 1st January of the current trimester year 
• Admission for October Trimester – 1st May of the current trimester year
 
For example: 
• Admission for January 2021 Trimester – 1st August 2020 
• Admission for May 2021 Trimester – 1st January 2021 
• Admission for October 2021 Trimester – 1st May 2021

3. When is the closing date to submit the Inbound Application Form and supporting documents of the programme? 

Below are the closing dates to submit the documents according to the trimester: 
• Admission for January Trimester – 30th September of the previous trimester year 
• Admission for May Trimester – 28th February of the current trimester year 
• Admission for October Trimester – 30th June of the current trimester year
 
For example: 
• Admission for January 2021 Trimester – 30th September 2020 
• Admission for May 2021 Trimester – 28th February 2021 
• Admission for October 2021 Trimester – 30th June 2021

4. Is there any requirement to apply for the programme (e.g. GPA, language proficiency, etc.)? 

There is no requirement for exchange students, but it is advisable for students to have English proficiency equivalent to IELTS 5.0 or above, especially for English-taught courses. However, if students plan to take courses in English Language and English Education programmes, the English requirement is IELTS 6.0 or above.

5. What documents should I submit when I apply for the Student Exchange Programme? 

a. A completed inbound application form with a passport size photo. 
b. A letter of recommendation from Head of Department / Dean from Home Institution stating purpose and duration of study at UTAR. 
c. A copy of Official Academic Transcripts (in certified English translation if the language in transcript is not English). 
d. A copy of passport (only pages with passport number, photo, issuance and expiry date). 

The following additional documents are required for Student Pass and Visa application: 
a. One passport-sized colour photograph with white background ONLY (4.5cm x 3.5cm) - JPEG format. 
b. A letter of confirmation from Home Institution to prove that applicant is enrolled as a full-time student at Home Institution. 
c. A copy of passport which includes all pages including blank pages (The passport must be valid for at least 12 months from the expected date of entry). 
d. Health Declaration Form.

6. What is the programme of study that I can choose at UTAR? 

You may visit our Undergraduate Programme website at https://study.utar.edu.my/undergraduate.php, to find out more about the study programmes offered by UTAR. 

**All UTAR Undergraduate Programmes accept exchange students except for BACHELOR OF MEDICINE and BACHELOR OF SURGERY.
This programme is only for local students.

7. How long will it take to process my application for Inbound Academic Exchange Programme? 

The application process takes approximately 1 month upon the submission of application form and supporting documents. If the application is successful, you will be issued an offer letter and student bill, together with student pass application charges.

8. How long will it take to process my Student Pass? 

Upon receiving the student bill, you are required to make payment for immigration charges and send the telegraphic transfer receipt to:

Your student pass application will be submitted to Education Malaysia Global Services (EMGS) and Immigration Malaysia to process the electronic Visa Approval Letter (eVAL). Your eVAL will be ready in approximately 45 working days. 

Important Note:
The eVAL is only valid for 6 months. Failure to enter Malaysia within 6 months after the eVAL is issued may result in students needing to reapply for the “Student Pass”.

9. Do I have to apply for a visa to participate in the Inbound Academic Exchange Programme? If yes, what type of visa should I apply for? 

Yes, you need to apply for a Mobility Student Pass. Upon receiving the eVAL you must obtain the Single Entry Visa (SEV) from the Malaysian High Commission / Embassy / Consulate Office overseas before entering Malaysia.

Important Note:
SEV must be utilised within 3 months of issuance. Failure to provide eVAL and SEV may result in denied entry to the country by the Immigration Department of Malaysia.

10. How do I cancel or defer the offer to join the Inbound Academic Exchange Programme? 

Please inform the Student Exchange Programme coordinators in your university and they will send an email of cancellation or deferment to UTAR Student Exchange Programme coordinators:

11. What are the estimated monthly cost of living in Malaysia? 

Below is the estimated monthly cost of living for an exchange student in Malaysia:

Around RM 400 to RM 900 (Off-campus housing)

Food
Around RM 600 to RM1000 (Three meals per day)

Transportation
Around RM 30 to RM 70 (UTAR or Public Transport)

Others*
Around RM 200 to RM 300

Estimated cost per month
Around RM1230 to RM2270

12. When will I receive the official transcript? 

The official transcript will be ready within 1 month after result is released. 


Outbound Academic Exchange Programme


1. What are the requirements to join the Outbound Academic Exchange Programme? 

To join the Outbound Academic Exchange Programme, you must be a full-time UTAR undergraduate student who has obtained at least 2 trimester results (Year 1 Trimester 3 or above) with a recommended CGPA 2.5000 and above (depending on the requirements of the partner institution or university).

3. How long is the duration for the exchange programme? 

You may enroll in any one trimester to a maximum of one academic year. 

4. Which host university is right for me?

Choosing a host university is a personal decision that depends on your course of study and interest.
For guidance, you may consult Student Exchange Coordinators who would be able to advise you:

5. When can I join for the Student Exchange Programme? 

Most of our partner universities have 2 semester periods:
Fall semester: September to next year January 
Spring semester: February to June 

You can visit our Student Exchange Programme website for latest announcements on promoting outbound SEP.

6. Do I have to speak a foreign language to study in a non-English speaking country? 

Not necessary. Many exchange partner institutions and universities in non-English speaking countries offer courses which are taught in both English and the native language of those countries. However, universities in China and Taiwan mainly offer courses in Chinese language only.

7. How much does it cost to participate in the Outbound Academic Exchange Programme? 

The total cost varies depending on the location of the host institution or university, your plans and your spending habits. The total cost which will be borne by an exchange student consists of return air fare, transport, meals, accommodation, books, stationery and other living expenses. 

In general, for Student Exchange Programme (with or without credit transfer), there will be no tuition fee charges for MoU or SEA partners. 

For non-partner institutions or universities, an exchange student is required to pay the tuition fee of the programme and all other miscellaneous fees charged by the host institution or university.

8. Will I take longer to complete my undergraduate programme if I join the Outbound Academic Exchange Programme? 

It depends on the study plan and undergraduate programme structure. If you have interest in Student Exchange Programme, you are advised to have early discussion with your academic advisor or Head of Department before applying for the programme.  

9. What documents should I submit when I apply for the Student Exchange Programme? 

a. A completed outbound application form (with Faculty Dean and HoD’s signature) and a passport size photo. 
b. A letter of recommendation from Dean stating the purpose and duration of study at Host University. 
c. One photocopy of the approved Leave of Absence application form (if applicable). 

Other documents required by Host University:* 
a. A completed application form (Host University). 
b. A letter of confirmation from the home university (UTAR) to prove that the applicant is enrolled as a full-time student. 
c. One set of academic transcript. 
d. One passport-sized colour photograph with white background ONLY (4.5cm x 3.5cm) - JPEG format. 
e. A copy of passport (only pages with passport number, photo, issuance and expiry dates). 
f. A copy of passport which includes all pages including blank pages (The passport must be valid for at least 12 months from the expected date of entry). 
g. Evidence of VISA approval (if relevant). 
h. Policy of appropriate travel insurance (medical, hospitalisation, life and accident).  

10. Can I choose my departure and return dates? 

Most programmes require students to arrive at and depart from their host country on specific date. School start dates, arrival orientation programmes, visa rules and host country regulations are factors that determine departure and return dates. 

11. Will the grades of the courses that I took during the student exchange programme be stated on UTAR transcript? 

Only the courses which can be credit transferred will be stated in UTAR transcript. 

12. Whom should I approach to get my transcript from the host institute or university? 

The transcript will be sent by the host institute or university to Student Exchange Programme coordinators upon the completion of the programme. You may collect the transcript at CEE office.

13. Is there any sponsorship for students who wish to join the Outbound Academic Exchange Programme?
